Host an On-Campus Information Session

All information sessions must be scheduled within the approved dates listed on The Career Center’s Recruiting Calendar. To see a list of campus wide events and programming, you can view Emory's main calendar here.  

The Career Center is committed to making your event as successful as possible. Employer informations sessions are hour-long events, beginning at 5:30 pm, Monday through Thursday. We do not schedule competing organization's in the same time slot. We ask that all of our visiting organizations adhere to our employer information session recommendations. Please reach out to us directly at recruiting@emory.edu for any scheduling questions.

Requests must be made at least 2 weeks prior to your event in order to allow time for us to reserve a space for your group and market your event to students.

CANCELLATION POLICY:

Cancellations must made in writing and sent to recruiting@emory.edu at least 4 weeks in advance of the scheduled visit to avoid a cancellation fee.

  • Any events that are rescheduled for a future date or scheduled and cancelled less than 4 weeks in advance will automatically be charged the $75 cancellation fee
  • All events must be scheduled at a minimum of 2 weeks in advance of the campus visit
  • All events scheduled 2 weeks or less than the event start date or rescheduled will be charged a $75 fee
  • Organizations with outstanding charges must pay their balance in full before additional reservations may be made on campus

Most rooms are scheduled at either White Hall or the Goizueta Business School. All rooms have fixed-classroom style seating. Student engagement is capped at 66 seats in Goizueta and 118 seats in White Hall. Tables, chairs and all other items from another room cannot be moved inside/outside or to another room. 

Catering

The majority of our company presentations take place in classrooms that are used for class before and/or after your scheduled information session. Because of this, we ask that you limit catering to light snacks, instead of heavy meals and large quantities of food.

If you will be using a caterer to deliver food,

  1. Make sure deliveries are scheduled no earlier than 30 minutes prior to your start time
  2. Provide an on-site/day of contact from your group for your caterer, as they could be turned away if a class or meeting is in session at the time of delivery
  3. Your representatives are required to remove all food, drink, and tableware from your room/hallway at the end of your event

A list of catering options can be provided upon request.

Career Center Ambassadors

Our student Career Ambassadors are fantastic, and volunteer their time to the Career Center in order to serve as your student Brand Ambassadors on campus. They will assist you with—

  • marketing your upcoming session to students across campus
  • help greet/check-in students during your event
  • assisting you with the technology provided in your room

Please note, our Career Ambassadors will not be able to assist you with

  • Catering - please work directly with your caterer for all catering concerns.
  • Shipping – please make arrangements prior to your visit to transport materials and boxes following the event. Materials cannot be left in the classrooms after your event. 

Shipping/Materials

The Emory Career Center does not have a central receiving office that can accept your shipment, deliver your materials or return your items. If you have materials you wish to ship in advance of your presentation, please do one of the following:

  1. Bring your materials with you (luggage or car)
  2. Ship items to your hotel
  3. Make advance arrangements with your hotel or a local courier service

You will need to take leftover materials with you after your campus visit and drop at our local FedEx or UPS office. Any extra materials left in the rooms will be discarded at the end of the night.

Please note: The Career Ambassadors and Emory facilities will not be responsible for any materials left in the classrooms. 

Room Logistics & Audiovisual

Rooms are reserved and made available to your group 30 minutes prior to your event’s start time. Most rooms are scheduled in classrooms in White Hall or the Goizueta Business School. All rooms have fixed-classroom style seating. Student engagement is capped at 66 seats in Goizueta and 118 seats in White Hall. Per Emory policies, tables, chairs and all other items cannot be moved inside/outside or to another room. Please allow us at least 5 additional business days to confirm your information session location upon your initial request.

All classrooms are equipped with a computer with internet connectivity, a projector, and screen. One of The Career Center's Career Ambassadors will meet you in the room to help you log in to the system and assist in setting up any technology needs you may have. We strongly recommend bringing a copy of your presentation on a USB thumb drive, as well as an additional back-up copy. If you wish to connect an Apple device to the system, you must bring your own VGA converter.

Publicity

The Career Center will promote your event online through Handshake’s Events section using the marketing language and flyer(s) you have provided. Career Ambassadors will also help market your event to their peers. Because The Career Center does not require students to RSVP, we can only provide you with an estimate of your attendance.

If available, you will also be matched with a Career Ambassador who will act as your Brand Ambassador on campus to promote your session to targeted student groups, on social media and through other outlets. Ambassadors will correspond directly with you to discuss your strategy.
